Setting up an institution
This is the path from nothing to a working institution. Steps 1–2 are done by a super admin. Everything after is done by the institution's own administrator.
1. Create the institution super admin
On the Super Admin dashboard (/super-admin), choose Setup New Institution and fill in:

2. Hand over the administrator account super admin
Give the administrator their login ID and password. They sign in at app.qurtuba.in/login. A seeded password must be replaced on first sign-in.
3. Check the features
Open Settings to see your institution's type and which features are on. Only a super admin can change them, from the institution's page in Super Admin. Switching a feature off removes its pages from every menu and blocks them for every role, in one step. See Institution types and features.
4. Set up the academic year and structure
- Academic year. Most screens work within the selected academic year.
- Classes. Create classes and their sections, or import them. See Classes, subjects and timetable.
- Subjects. Create them or import them.
- Academic calendar. Add holidays and events, so attendance counts only working days.
Hifz academies
A Hifz-only institution has no classes or subjects. Its structure is groups (Halqas) led by a mentor (Ustadh). Skip to Course tracking.
5. Add people
- Staff. Add them in Staffs, or import a spreadsheet. See Staff.
- Students. Add them in Students, or import a spreadsheet. See Students.
Each person gets a login as they are added. Students sign in with their admission number, staff with the username they were issued. A phone number can seed the first password, and it must be changed at first sign-in.
6. Decide who can do what
In Roles & Access, create roles (or use the defaults) and assign them. For each page a role can view, add, edit or delete, and it can be limited to all, assigned or own records. See Roles and access.
7. Publish your website (optional)
In Website, pick a template, write your pages, choose a subdomain, and publish. See Institution website.
